Privacy Policy for the openEHR Clinical Knowledge Manager

The openEHR Clinical Knowledge Manager (“CKM”), including all information and materials contained on it, is publicly available under the auspice of the openEHR Foundation (www.openEHR.org).  

The openEHR Foundation is committed to ensuring the privacy of all openEHR CKM users.

This Privacy Policy governs the openEHR CKM and explains how it collects and handles your personal information.

As an operating principle, the CKM tool collects and retains the least amount of personally identifiable information needed to fulfil its operational needs. If you only browse through CKM, without registering or logging in, we do not capture any personal information about you.


The terms and conditions for the openEHR CKM Privacy Policy are set out below, and  apply in conjunction with the openEHR CKM Terms and Conditions of Use.

What types of information do we collect and store?

The type and amount of information we receive and store depends on how you use the openEHR CKM. You can access most of the content on the openEHR CKM without telling us who you are and without revealing any personal information.

We only collect personal information on the openEHR CKM if you choose to provide it during registration and subsequently log in for the purpose of being able to actively participate in CKM community activities.

The types of personal information that the openEHR CKM collects includes:

  • Name of individual;
  • Name of organisation that the individual represents;
  • Email address;
  • Professional background category; and
  • Clinical Expertise category.

How do we use information collected?

Your personal information will be retained by the openEHR CKM and its service providers in a secure environment, will be kept confidential, and will only be used in connection with the purposes for which it is submitted, or as otherwise explained within the CKM or as necessary for us to comply with our legal obligations.

More specifically, the CKM may use this information to:

  • Invite you to participate in relevant CKM community activity, such as artefact reviews; and
  • Contact you, on occasion and when relevant, to inform you about specific CKM projects or activity, or about changes in CKM functionality or policy.

You will be given the opportunity to opt out of communications about activities, artefact reviews or notifications.

Sharing of your personal information

The information you provide will not be sold or shared with third parties unless we have your permission, or are required to disclose the information by law.

Use of cookies

A cookie is a text-only piece of information that a website transfers to your computer's hard disk so that CKM can remember who you are.

Cookies are used in CKM to manage the user’s session and if the user chooses to use the permanent login facility (“Remember me”) than an additional cookie will be stored that outlives the session. If the user manually removes this cookie, the user cannot automatically be signed in the next time they return to CKM.

Changes to this policy

The openEHR Foundation may change the terms of this Privacy Policy from time to time in response to new laws or technology, and changes to the openEHR CKM operations. If such changes are made, you will be notified of this the next time you log in to the openEHR CKM.

Access to the latest version

The most current version of the Privacy Policy can be reviewed at any time by clicking on the "Privacy Policy" link located in the CKM Help menu.

Consent

By registering and logging in to the openEHR CKM, you consent to the terms of this Privacy Policy.

Because our services are focussed internationally, any personal information that we collect will be stored in the country in which we maintain the CKM servers. By using our services, you consent to any transfer of information outside your country.

This Privacy Policy does not apply to pages hosted by other organisations, including related organisations or third party sites. The openEHR CKM may be linked to the websites of such other parties, but those other sites may have their own privacy policies which apply to them.
